At Destination Nashville, we love a good outdoor event! The spring and fall months are especially nice down south, and we love to get guests out of the hotel to experience a bit of nature. Planning an outdoor event requires logistical expertise, but just as important, requires a good back up plan. While no one likes to think about the possibility of a rain out, we know that it is best to have a solid plan in place, so that your indoor experience is equally as enjoyable as your best laid plans!
The planning skills of our operations team were recently tested when an outdoor event for 500 people was threatened by storms. A dinner on the Opry Plaza before a Grand Ole Opry show was planned for a group staying at Gaylord Opryland Resort & Convention Center. The event was planned to be partially in the open plaza and partially under a tent. We knew that if rain was imminent, we needed a good backup plan in place. Having reserved and paid for tenting in advance, we knew that there was a chance the client would not be able to use the tenting if we were forced to move indoors. When the client asked if we could erect the tent indoors, we put our collective brains together and a thought was hatched…what if we were able to repurpose the tents?
When rain threatened and the decision was made to move inside, the tents became a decor focal point rather than shelter. Using the tent frames alone, lights were strung across the skeleton of the tent, creating a warm and inviting glow. The event went off without a hitch thanks to the logistical forethought and planning!
